1. Who We Are
The Student InfoX Hub (InfoX) is a peer-led student relocation support platform helping African students navigate their move to the United Kingdom. We operate a free Telegram community and provide paid services including guidance calls, airport arrival support, orientation days, and apartment viewing services.
When this policy refers to "we", "us", or "our", it means The Student InfoX Hub operated by Edini Nsikan Ntah.
When this policy refers to "you", it means any person whose personal data we collect or process, including community members, service customers, newsletter subscribers, form respondents, and ambassadors.
2. What Personal Data We Collect
We collect the following categories of personal data depending on how you interact with InfoX:
- Identity and contact data: Full name, email address, phone number, WhatsApp number, Telegram username, and country of residence.
- Location and study data: UK city of destination, university name, intended move-in date, and course of study where provided.
- Preference and lifestyle data: Budget range, accommodation preferences, lifestyle habits, and flatmate compatibility information collected through our Flatmate Finder service.
- Booking and service data: Service type requested, service date, city of service, and any information provided during a booking or guidance call.
- Payment data: We do not store card or bank details. Payments are processed by Stripe. Their privacy policy governs how your payment information is handled. We retain records of payment amounts and dates for our own accounting purposes.
- Communications data: Messages, emails, or DMs you send to us, and records of any support or complaint interactions.
- Ambassador data: For verified ambassadors, we additionally collect government-issued photo ID and university student ID for verification purposes. These are used solely for identity verification and are not shared with third parties.
- Newsletter and marketing data: Email address and subscription preferences for people who sign up to receive our newsletter or marketing communications.
3. How We Collect Your Data
We collect personal data in the following ways:
- When you fill in a Tally form to join our community, request a service, or apply to become an ambassador.
- When you subscribe to our newsletter.
- When you message us via email, WhatsApp, Telegram, Instagram, or TikTok.
- When you book and pay for a service through our booking form and Stripe.
- When you participate in our Flatmate Finder matching service.
- When you interact with our social media content in ways that involve direct communication with us.
4. Why We Use Your Data and Our Legal Basis
We use your personal data for the following purposes:
- To deliver services you have booked: We use your name, contact details, service date, and city to assign an ambassador, confirm your booking, and deliver the service. Legal basis: contract performance.
- To match you with a compatible flatmate: We use your preferences, budget, lifestyle data, and contact details to find and connect compatible pairs. Legal basis: consent, given when you submit the Flatmate Finder form.
- To communicate with you about your booking or query: We use your contact details to respond to enquiries, send booking confirmations, and follow up after service delivery. Legal basis: contract performance and legitimate interests.
- To send you our newsletter and community updates: We use your email address to send updates where you have subscribed or opted in. Legal basis: consent. You may withdraw consent at any time by unsubscribing.
- To verify ambassador identity: We use government ID and university ID to verify that ambassadors are who they say they are before activating their account. Legal basis: legitimate interests in maintaining a safe and trustworthy service.
- To improve our services: We use anonymised data and feedback to understand how our services are used and how to improve them. Legal basis: legitimate interests.
- To comply with legal obligations: We may process and retain data where required by applicable law. Legal basis: legal obligation.
5. Who We Share Your Data With
We do not sell your personal data. We do not share your data with advertisers.
We share your data only in the following limited circumstances:
- With InfoX ambassadors: When you book a service, we share your name, contact details, service date, and relevant booking information with the assigned ambassador so they can deliver the service. Only the information necessary for service delivery is shared.
- With Flatmate Finder matches: When a match is made, we share your name and preferred contact method with your matched individual so you can connect. We do not share your full profile data without your awareness.
- With Stripe: Payment processing is handled by Stripe. We share booking amount and contact information with Stripe as required to process your payment.
- With our email and newsletter platform: Your email address and name are stored in our email platform (Mailchimp) for the purpose of sending newsletters where you have subscribed.
- With our legal or professional advisors: Where required for legal advice or compliance.
- With law enforcement or regulators: Where we are legally required to disclose information, for example in response to a court order or regulatory request.
6. International Data Transfers
InfoX operates across Nigeria and the United Kingdom. Your data may be transferred between these countries in the ordinary course of our operations. We take reasonable steps to ensure that any such transfer is handled securely and in accordance with applicable data protection law.
Our third-party service providers including Stripe, Tally, and Mailchimp may store and process data in countries outside the UK and Nigeria. These providers operate under their own data protection policies and compliance frameworks.
7. How Long We Keep Your Data
We keep your data only for as long as necessary for the purpose it was collected.
- Booking and service data: retained for 24 months after the service date for quality and dispute resolution purposes, then deleted or anonymised.
- Flatmate Finder data: retained for the duration of the active matching round and deleted or anonymised within 6 months of the round closing.
- Ambassador verification data (ID documents): retained while the ambassador is active and for 12 months after the agreement ends, then securely deleted.
- Newsletter subscriber data: retained until you unsubscribe, after which your data is removed from our mailing list within 30 days.
- Community membership data: retained while you are an active member. You may request deletion at any time.
8. Your Rights
Depending on where you are located, you may have the following rights regarding your personal data:
- The right to access the personal data we hold about you.
- The right to correct inaccurate or incomplete data.
- The right to request deletion of your data where there is no lawful reason for us to continue holding it.
- The right to restrict or object to processing in certain circumstances.
- The right to data portability where technically feasible.
- The right to withdraw consent at any time where processing is based on consent. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

UK residents may also lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe we have handled your data unlawfully.
Nigerian residents may lodge a complaint with the Nigeria Data Protection Commission (NDPC) at ndpc.gov.ng.
9. Cookies and Website Tracking
